You will be expected to pay a holding deposit to reserve the property for you, and the first months rent is required in advance.
The rent listed for each property does not include utilities (water, gas, electricity, TV license, etc.) unless otherwise specified. You’ll be responsible for setting up and paying for these utilities during your tenancy.
Rent made easy: Rent is paid monthly via a standing order which you set up with your bank. To ensure a smooth process, we’ll provide you with a standing order form during move-in. This will simplify setting up the automatic payment with your bank.

Our tenancies come with a standard 6-month initial assured short-hold tenancy. Looking for something longer? We can discuss extending the term directly with the landlord!
Ready to secure your dream home? Here’s what you’ll need:
- Holding Deposit: To reserve the property you will be asked to pay a holding deposit which can be no more than 1 weeks rent. On successful completion of the application, this amount will go towards the deposit amount which is equal to 5 weeks rent.
To ensure a smooth application process, we typically require the following:
- Employment reference: This helps us verify your income and employment status.
- Landlord reference (if applicable): If you’ve rented before, a reference from your previous landlord can be helpful.
- Credit check: This allows us to assess your financial stability.
- One photo ID: This could be your passport or driver’s license (if accompanied by your birth certificate).
- One proof of current address: A recent utility bill or bank statement will work perfectly.
What happens if my application is not approved?
- Credit Score or Income: If your application falls short due to credit score or insufficient income, a guarantor might be an option. A guarantor is someone who agrees to cover your rent if you can’t.
- Previous Tenancy Issues: If your application is declined because of a negative reference from a past landlord or letting agent, the full holding deposit will unfortunately not be refundable.
- In all other cases: We will do our best to work with you and may be able to offer a partial refund of the holding deposit.
If a landlord declines your application, we’ll do our best to find a suitable alternative property for you. However, in the unlikely event we can’t find the right match, we’ll be happy to offer you a full refund of your holding deposit.
For the smoothest experience, we recommend starting your property search 4-6 weeks before your desired move-in date. This is because many properties become available for rent immediately or within a month of being listed. By starting early, you’ll have a wider selection to choose from and more time to find the perfect place!
To ensure your peace of mind, landlords and letting agents are legally required to protect your deposit by registering it with a government-backed scheme within 30 days of receiving it. We use The Deposit Protection Service.
For any maintenance or repair needs, simply contact our office during our working hours of 9am to 5pm, Monday to Friday.

If you smell gas, call the National Gas Emergency Service immediately on 0800 111 999 or via textphone (minicom) on 0800 371 787.
If you experience loss of electricity / power cut, please click on the following link to check if it is a National Grid outage www.powercuts.nationalgrid.co.uk
If you are on a key / card meter for your gas / electric please make sure you have sufficient credit on both to tide you over. If you allow your gas to run out and you have gas central heating, this can lock your boiler out and shut it down. This is not the responsibility of your landlord and as such, you would be liable for any subsequent engineer call outs.
Please ensure you have a spare key left with a family member/friend/neighbour. We are not responsible for you locking yourselves out.

Thinking about moving out? Here’s what you need to know:
- Assured Short-Hold Tenancy: If your AST has gone to a periodic tenancy (after initial 6 months), simply provide one month’s notice.
Thinking about staying on after your tenancy ends? With our fully managed properties, contact us to discuss your options.
- Move-out inspection: At the end of your tenancy, we’ll conduct a checkout inspection of the property.
- Speedy return: If there’s no damage beyond normal wear and tear, we’ll request the return of your deposit from the DPS (Deposit Protection Service) within 10 days.
- Damages and disputes: For any undisputed damage costs, we’ll deduct the amount from your deposit and return the remaining balance within 10 days. In case of disagreements, the disputed amount will be held by the DPS and settled by an independent adjudicator.
We’re happy to consider your requests! Submit your ideas in writing, and if the landlord approves, we’ll let you know.
- Understanding your obligations: During a fixed-term tenancy, you’re typically responsible for rent until the end of the term, even if you move out earlier.
- Finding a replacement (with landlord’s approval): If your landlord agrees, Haarer & Motts will try to find a suitable tenant to replace you.
- Rent responsibility: You’ll still be responsible for rent until the new tenant moves in.
Landlords must give you at least 2 months’ written notice (using a Section 21 – notice (Form 6A)
Protecting your belongings and the property (Tenant Insurance):
- Contents Insurance: We highly recommend getting tenant contents insurance. This protects your personal belongings in case of fire, theft, or other unforeseen events.
